To make everybody’s lives easier, we have a consistent set of policies for Evergreen Trail Runs events. Check them out below.

Race Policies

Refund Policy

Since the vast majority of race costs are incurred prior to a race and are non-refundable, we do not issue refunds for races.

In the event that you are unable to participate in one of our races, you have three options:

  • Transfer your entry to another Evergreen Trail Run event in the same year. See below for more information and instructions.
  • Defer your entry to the same race in the following year. Please note that requests for deferral must be sent before the Wednesday of race week (i.e. before Tuesday at 11:59pm)
  • Transfer your entry/bib to another runner. See below for more information and instructions.

All three kinds of transfers are done automatically online through our registration company, RunSignUp.com. This option is only available up until the time that online registration closes.

Race entries can only be deferred or transferred once.  After that, in lieu of deferring or transferring a second time, a voucher will be issued in the amount of 50% of the original registration fee paid less RunSignUp processing fee. The voucher will be good for 12 months from the date of issue.

Please note that free race registrations, once deferred or transferred, are not eligible for a voucher. 

Pregnancy Policy
A participant may defer at no cost or receive a refund for their entry to the following year if they become pregnant after registering for the race.
To defer or receive a refund, please contact us. Proof of pregnancy must be submitted, and the normal deadline for a race deferral (see below) must be met.
Youth Participation Policy

Evergreen Trail Runs welcomes and encourage the participation of runners of all ages.   For the safety of minor participants, we ask that the parent/legal guardian abide by the following age requirements when registering their minor child:

5K/5M: Participants age 12 and older are welcome to participate and run independently at the discretion of their parent/legal guardian.  Participants between 8 and 12 are invited to participate in this distance, but must be accompanied for the duration of the event by an adult guardian who is also registered for the race in question. Participants under 8 are not allowed to run.

10K/12M: Participants age 16 and older are welcome to participate and run independently at the discretion of their parent/legal guardian.  Participants between 12 and 16 are invited to participate in this distance, but must be accompanied for the duration of the event by an adult guardian who is also registered for the race in question. Participants under 12 are not allowed to run.

Half and longer distances: Participants must be 18 or older to participate in a half marathon distance, 20 mile distance, marathon distance, 50K distance, 50 Mile distance or 100 Mile distance.

Awards/Timing Policy

For Evergreen Trail Runs events, we score overall winners by Gun Time (also known as Clock Time). This means that the first three runners of each gender to cross the finish line will be credited in the overall winner category, regardless of when those runners may have crossed the start line. We do this to ensure fairness of competition for all our runners.

As such, when a race is started in multiple waves, participants who believe they will be competing for an overall award should make certain they start their race in the first wave and towards the front of the wave. If you are asked for your estimated finish time during registration, please answer as accurately as possible to ensure that you are placed in the correct wave.

As is true of any timing system, ours is not 100% infallible and we cannot guarantee that results will be 100% accurate immediately after finishing a race. However, we do employ multiple backup systems to help ensure that we can issue all runners a finish time – you can help by always making sure your bib is worn visibly from the front on your outermost layer of clothing. In some cases, we may be able to issue you a Gun Time but not a Chip Time, as congestion at the start line does not allow for the use of photo or video backup strategies. Also, to maintain the integrity of results, we are only able to use personal GPS data as a piece of the puzzle when investigating results issues and will not issue an official result based solely on this data.

Awards are only available for pickup at the race–we do not mail them out.

Non-binary runners

New for 2023, we now have a non-binary category in addition to male and female. This means that when you register for an Evergreen event, you can select ‘male’, ‘female’, ‘non-binary’, or ‘prefer not to say’.

If you would like to change your gender for a particular Evergreen event that you are already registered for, follow the instructions here. 

We will have overall awards for the top three overall non-binary runners for every race. Non-binary awards will be available for pickup at the Evergreen tent. If you would not like to be eligible for overall awards, you should select ‘prefer not to say’ for you gender in your registration. 

Race Transfer

Race transfer is switching from one Evergreen Trail race to another. Race transfers cannot be made between an Evergreen Trail Runs race and an Orca Running race. Race transfers can be done up until 6pm the day before a race. After that, transfers are not possible. If you are emailing to request a race transfer, your email must be received before 6pm the day before a race.

You can transfer into any race with open registration. For example, Thomas More is signed up for Dash Point trail run, but he has a book publishing tour for Utopia that conflicts with the race. So, he decides to transfer to the Soaring Eagle trail run. This costs Thomas (and you) $10 + any difference in registration prices, and is paid online through RunSignUp.com. If the race you are transferring to costs less than the race you initially signed up for, you will not receive a refund for the difference.

PLEASE NOTE that this does not apply to Devil’s Gulch. You cannot transfer your entry from Devil’s Gulch to another Evergreen Trail Runs event, or vice versa.

Race Transfer Instructions

Changing Distances

Changing distances is just what it sounds like: switching from one race distance to another (i.e. switching from the half-marathon to the 10K). This is, for obvious reasons, only available at races where there is more than one distance offered. For example, Bartholomew was signed up for the half, but he ran out of motivation to train, so now he wants to switch to the 10K. Changing distances does not incur a cost, unless you are switching to a longer distance (due to the higher registration fee). When switching to a less expensive distance, you do not receive a refund for the difference in entry fees.

You can change distances via RunSignUp.com any time prior to registration closure. After that, you can still change distances, but it will need to be done in person or at packet pickup. PLEASE NOTE: Do not switch distances without notifying us. It will cause errors with the results. Just imagine if you switch from the 10K to the 5K — your time could suddenly become very competitive, messing up the results and delaying the awards.

Deferrals

You can defer your race entry to the next year if you can’t make it.  You can defer your entry up until 6pm on the day before the race. The deferral fee for shorter races (less than a half-marathon) is $10, and $20 for half-marathon and longer races. If requesting a deferral via email, the email must be received before 6pm on the day before the race.

PLEASE NOTE things are different for Devil’s Gulch. In lieu of paying for a deferral for Devil’s Gulch, you will receive 95% of whatever you paid for your entry as a credit to use to register for next year’s Devil’s Gulch race. You must re-register for the race. Deferrals do not automatically enroll you in the following year’s race. If you need to defer your entry to Devil’s Gulch, please contact us.

Bib Transfers

Participant transfer, or bib exchange, is when a bib is transferred from one participant to another for the same race. For example, Amanda is signed up for the Lord Hill trail run, but her childhood bestie is coming into town that weekend, so now Amanda can’t run. Amanda finds someone (Joe) to take her spot in the race. This costs Joe (and you) $10 and is paid online through RunSignUp.com by the person taking over the bib. Bib transfers can be done online until registration closes, and after that can be done in person at packet pickup or on race morning.

Race cancellation/postponement
Our goal is always to provide an enjoyable, safe race experience. However, sometimes unusual conditions (weather and other) may require that, for your health and safety, we cancel a race. We never want to cancel a race and will do so only if the safety risk is great. While we can’t list every possible factor, some possibilities are extreme heat, extreme cold, hazardous air quality, unanticipated road/trail closures, dangerous animals on the course, or other natural or human-caused acts.

Whenever possible, we will postpone a race instead of cancelling it. When a race is postponed and you cannot make it to the new race date, you can defer to the following year’s race for free. Or if you’d prefer, you can transfer your entry to another Evergreen Trail Runs event in that same year for a reduced fee of $5.

Once the decision has been made to cancel a race, we will do our best to contact every registered participant as far in advance as possible. However, the very nature of many of these conditions may affect our ability to do so.

Dog Policy

Evergreen Trails loves dogs. We love small dogs, big dogs, round dogs, shiny dogs – we love ALL the dogs. Unfortunately, our furry friends cannot be a part of our runs. Dogs are welcome to the start and finish area of all races, however.
